Privacy Policy

This Privacy Policy explains how Gwee & Kwee ("we", "us", "our") collect, use, and protect information when you use the Nekotina Discord bot and website (the "Service").

1. Information We Collect

1.1 Discord account information

When you interact with Nekotina or log in to our website with Discord, we receive information from Discord based on the permissions ("scopes") you grant during login: your Discord user ID, username, global display name, avatar, email address, and the servers (guilds) you share with Nekotina, including your roles in those servers where relevant to a feature (for example, linked roles).

1.2 Content you provide

Most of what we process is the text of the commands you use to interact with the bot (for example, economy, moderation, music, or customization commands), needed to carry out the action you requested. Depending on the features you use, we may also process:

• Content sent to specific features that require additional processing, such as AI chat, custom chatbot, AI "Character" roleplay, image generation, video generation, or speech generation, including the text and any attached images or audio
• Server configuration you create through the dashboard (custom commands, tags, automated messages, shop items, etc.)
• Reports, feedback, or appeals you submit to us

1.3 Billing information

When you subscribe to Premium, our payment processor Stripe collects and stores your payment details directly. We never see or store your full card number. We receive and store only: your Stripe customer and subscription identifiers, the email and name associated with your Stripe customer profile, subscription status and billing dates, and your Discord user ID (to link the subscription to your account).

1.4 Cookies

Our website uses a small number of cookies: a session cookie to keep you logged in after Discord login, a locale cookie (neko-locale) to remember your language preference, and a promotional banner cookie (neko-promo-dismiss-{id}) that is set only if you dismiss a promotional notice at the top of the site, so we do not show it again during the active campaign (it expires when the promotion ends or, at minimum, after 24 hours). If you see advertising on parts of our website (for example, via Google AdSense), Google and its partners may set their own cookies to serve and measure ads; you can control these through your browser and Google's ad settings.

1.5 Information from historical Patreon support

Nekotina previously accepted support through Patreon. For users who supported us that way, we may still retain limited historical records (such as email, display name, and membership tier) tied to that prior relationship while we complete the transition of all paid features to Stripe.

2. How We Use Information

We use the information above to: operate and provide the Service and its features; process Premium payments and manage subscriptions; personalize your experience (language, settings); enforce content moderation and these Terms; respond to support requests, reports, and appeals; and improve and troubleshoot the Service.

3. External Providers and Technical Processing

We use external providers to operate specific parts of the Service: payments, Discord authentication, hosting, databases, advertising, content moderation, and advanced generation or processing features. For features that use AI, the content needed to generate a response or output may be sent to providers we work with (such as ChatGPT/OpenAI, OpenRouter, and others, which may change over time). Before that content is sent, we apply an anonymization process that removes or masks direct identifiers (such as your username, Discord account ID, and originating server), so the provider generally only receives the content needed to process your request, without data that directly links it to your Discord account. We do not sell your personal information to third parties.

Other service providers that may process limited data on our behalf include: Stripe (payments), our hosting and database providers, and Google AdSense (advertising on parts of the website, where shown).

4. What We Do Not Store

We never collect or store your credit/debit card number, CVC/CVV, or bank account details. All sensitive payment data is handled exclusively by Stripe under its own PCI-DSS certified systems.

5. Data Retention

In line with the principles of Discord's Developer Policy, we do not keep your data for longer than necessary for the purpose it was collected for.

Discord command text and events are primarily processed in real time to carry out the action you requested, and are not kept as a general message archive. When we keep limited operational logs, such as bot actions, technical errors, dashboard configuration changes, or audit records, we normally retain them for a maximum of 30 days for security, debugging, and service-improvement purposes, unless we need to keep them longer to investigate abuse, fraud, disputes, or comply with legal obligations.

Data needed to maintain your account, server configuration, subscriptions, gifts, moderation history, rewards, or persistent features is kept while it is needed to provide those features or while the server/account continues using the Service. Billing records may be retained for longer where needed for tax, accounting, fraud-prevention, or dispute-resolution purposes.

If you request deletion of your data, we will process the request within a reasonable period and, where applicable, within a maximum of 30 days, unless applicable law, a dispute, service security, or abuse prevention requires us to retain limited information.

6. Your Rights

Depending on where you live, you may have rights to access, correct, or request deletion of your personal data, or to object to certain processing. To exercise any of these rights, contact [email protected]. We may need to verify your identity (typically via your Discord account) before fulfilling a request.

7. Children's Privacy

The Service is not directed at children under 13, and we do not knowingly collect personal information from children under that age. If we learn that we have collected data from a child under 13, we will delete it.

8. Security

We take reasonable technical and organizational measures to protect your information, including signature verification on payment webhooks and restricted internal access to sensitive systems. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

9. International Users

Our Service is used by people around the world, and your information may be processed in countries other than your own, which may have different data protection laws than your country of residence.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "last updated" date at the top of this page.
