What data Nekotina collects, why we collect it, and how it is used.
This Privacy Policy explains how Gwee & Kwee ("we", "us", "our") collect, use, and protect information when you use Nekotina: a multipurpose Discord bot (moderation, economy, music, automation, and a web dashboard) and its website (the "Service").
1. Information We Collect
1.1 Discord account information
When you interact with Nekotina or log in to our website with Discord, we receive information from Discord based on the permissions ("scopes") you grant during login: your Discord user ID, username, global display name, avatar, email address, and the servers (guilds) you share with Nekotina, including your roles in those servers where relevant to a feature (for example, linked roles).
1.2 Activity on Discord
Depending on which modules a server has enabled, we may process:
- Message text and attachments when needed for moderation (for example honeypot or anti-scam filters), auto-replies, special-channel rules, starboard, or edit and delete logs. This happens at the time of the event. We do not keep a general chat archive. If a server uses Premium deleted-message logs, we may keep an attachment for as long as that log needs it. A short-lived cache (a few hours) may be used for starboard and logs
- The text of the interactions and commands you use (economy, music, moderation, customization, and similar) to carry out that action
- Server configuration you create in the dashboard (welcome messages, custom commands, tags, shop items, alerts, and similar)
- Data those features need in order to work: balances and inventory, playlists, confessions (the text and, for moderation, who sent it), and any text or attachments you submit to AI features
- Reports, feedback, or appeals you send us
Server administrators can turn off modules that read messages. An individual member cannot opt out of moderation the server has configured.
1.3 Billing information
When you subscribe to Premium, our payment processor Stripe collects and stores your payment details directly. We never see or store your full card number. We receive and store only: your Stripe customer and subscription identifiers, the email and name associated with your Stripe customer profile, subscription status and billing dates, and your Discord user ID (to link the subscription to your account).
1.4 Cookies and website data
Our website uses a small number of cookies: a session cookie to keep you logged in after Discord login, a locale cookie (neko-locale) to remember your language preference, and a promotional banner cookie (neko-promo-dismiss-{id}) that is set only if you dismiss a promotional notice at the top of the site, so we do not show it again during the active campaign (it expires when the promotion ends or, at minimum, after 24 hours). If you see advertising on parts of our website (for example, via Google AdSense), Google and its partners may set their own cookies to serve and measure ads; you can control these through your browser and Google's ad settings.
2. How We Use Information
We use the information above to: operate and provide the Service and its features; process Premium payments and manage subscriptions; personalize your experience (language, settings); enforce content moderation and these Terms; respond to support requests, reports, and appeals; and improve and troubleshoot the Service.
3. External Providers and Technical Processing
We use service providers to run specific parts of the Service: hosting, databases, Discord authentication, payments (Stripe), advertising on the website (Google AdSense, where shown), and, only for features that need it, AI inference providers.
For those AI features we send only the content of that request (the text or attachment), not the server's message history. Before it is sent, we remove or mask direct Discord identifiers (such as your username, account ID, and originating server). We do not use Discord message content to train AI models, ours or anyone else's. The specific providers we use may change. We do not sell your personal information to third parties.
4. What We Do Not Store
We never collect or store your credit/debit card number, CVC/CVV, or bank account details. All sensitive payment data is handled exclusively by Stripe under its own PCI-DSS certified systems.
5. Data Retention
In line with the principles of Discord's Developer Policy, we do not keep your data for longer than necessary for the purpose it was collected for.
Messages are processed mostly in real time. There is no general chat archive. The cache used for starboard and edit or delete logs is short-lived (a few hours).
When we keep limited operational logs, such as bot actions, technical errors, dashboard configuration changes, or audit records, we normally retain them for a maximum of 30 days for security, debugging, and service-improvement purposes, unless we need to keep them longer to investigate abuse, fraud, disputes, or comply with legal obligations.
Data needed to maintain your account, server configuration, subscriptions, gifts, moderation history, rewards, or persistent features is kept while it is needed to provide those features or while the server/account continues using the Service. Billing records may be retained for longer where needed for tax, accounting, fraud-prevention, or dispute-resolution purposes.
If you request deletion of your data, we will process the request within a reasonable period and, where applicable, within a maximum of 30 days, unless applicable law, a dispute, service security, or abuse prevention requires us to retain limited information.
6. Your Rights
Depending on where you live, you may have rights to access, correct, or request deletion of your personal data, or to object to certain processing. To exercise any of these rights, contact [email protected]. We may need to verify your identity (typically via your Discord account) before fulfilling a request.
7. Children's Privacy
The Service is not directed at children under 13, nor at anyone who does not meet Discord's minimum age in their jurisdiction. We do not knowingly collect personal information from those people. If we learn that we have collected data from someone under that age, we will delete it.
8. Security
We take reasonable technical and organizational measures to protect your information, including signature verification on payment webhooks and restricted internal access to sensitive systems. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
9. International Users
Our Service is used by people around the world, and your information may be processed in countries other than your own, which may have different data protection laws than your country of residence.
10. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "last updated" date at the top of this page.
